Floorspace privacy policy

Last updated: 7 October 2026

This policy covers Floorspace Shop and Solo services, the Floorspace Fitter companion app where it connects to those services, and the Floorspace website. It explains how personal information is handled during the free beta and when using the service.

Who is responsible

Floorspace is currently operated by Pete Sands, its developer. For privacy questions or requests, email support@floorspace.dev. If operation transfers to a company, this policy will be updated and users will be told about relevant changes.

For account administration, support and Floorspace usage tracking, the operator determines how information is used. For customer and job information entered by a flooring business, that business normally determines its purposes and Floorspace processes the information to provide the service on its behalf. Contact the business for requests about its customer records; Floorspace support can help identify the appropriate route.

Information we handle

Provide only information you are authorised to use. Avoid entering unnecessary sensitive personal information in job notes or uploads.

How and why information is used

For information for which Floorspace is the controller, the relevant lawful bases are performing a contract or taking steps you request before a contract; legitimate interests in operating, securing and improving the service and fairly administering beta participation; and legal obligations where applicable. Where consent is required, we obtain it and you can withdraw it. You can object to processing based on legitimate interests by contacting support.

The free beta does not commit you to a subscription. Feedback surveys are optional unless you choose to earn the tester discount; operational usage/save tracking is separate from completing a survey. This tracking is recorded through our own Cloud Functions, separately from crash reporting. The apps do not use Firebase Analytics or another general analytics SDK.

Who receives information

Floorspace uses Google Firebase Authentication and Cloud Firestore to support sign-in and hosted data, Cloud Functions for service operations and our own usage/save tracking, Firebase Crashlytics for crash diagnostics, and Firebase Cloud Messaging for push notification delivery. Google receives the information needed to provide each service. See Firebase privacy and security information. Google processes information needed to provide these services. Hosting, email and infrastructure providers also process information needed to deliver the website, support and service functions.

Information can be made available to staff, connected fitters or recipients as directed by the business or user. Support access is limited to what is needed for administration, help, security and authorised deletion. Information may also be disclosed where legally required or necessary to establish, exercise or defend legal claims.

The stores used to download the app process store-account and download information under their own policies. If paid services are introduced, the relevant payment-provider and billing data arrangements will be explained before payment is taken.

Storage, transfers and security

Information may be held on your device and in hosted service infrastructure. Providers may process information in more than one country. Firebase Authentication processes information in the United States; Crashlytics and Cloud Messaging use global infrastructure. Firestore and Cloud Functions processing depends on the configured service locations. Where transfers outside the UK require safeguards, the applicable provider arrangements must protect the information in accordance with data-protection law. Contact support for details of the providers and transfer arrangements relevant to your account.

We use authentication, access controls and secure network connections to protect hosted personal information. Users should keep login credentials secure and grant staff and fitter access only where appropriate. No system can guarantee absolute security.

Retention and account deletion

Account and hosted job data are kept while needed to provide the service and for the purposes described above. Usage/save records and beta feedback are kept while needed to operate and evaluate the beta, administer discount eligibility and support the service; identifiable information is deleted when no longer needed or as part of an applicable deletion request.

You can request deletion through our account deletion page or by emailing support. Deletion is currently manual. We aim to complete routine requests within seven days after verification and confirmation, respond without undue delay and normally within one calendar month of receipt, and explain any lawful exception or extension.

There is no compulsory cooling-off period and we do not retain an account copy to restore it if you return. Individual staff deletion is distinguished from authorised whole-shop closure so another business's records are not accidentally erased.

We may retain a minimal record of the request and completion for up to 12 months. Information needed for legal obligations, security or legal claims may be retained for a justified period explained to you. Existing backup data that cannot immediately be removed is put beyond operational use and expires through backup rotation; the applicable expiry is explained in the deletion response. Completed deletions are reapplied after a disaster-recovery restore.

Firebase diagnostic and service retention

Google states that Crashlytics keeps crash traces and associated installation identifiers for 90 days before starting removal from live and backup systems. Deleting a Floorspace login does not itself instantly erase every diagnostic report. We handle identifiable diagnostics within applicable deletion requests using available provider mechanisms and explain any residual retention.

Google states that, after the customer initiates deletion of an Authentication user, associated authentication information is removed from its live and backup systems within 180 days. For Cloud Messaging installation identifiers, Google's documented period is within 180 days after the relevant installation-deletion API call. These provider timelines are separate from our target for deleting your active Floorspace account and account-linked data.

Your rights

Depending on the circumstances, you can request access, correction, erasure, restriction or a portable copy of your personal information, object to certain processing, or withdraw consent. These rights have legal limits. Email support@floorspace.dev; we may reasonably verify identity before disclosing or deleting data. You can complain to the UK's Information Commissioner's Office.

Website and changes

Website hosting processes connection information to serve pages and maintain security. External stores and linked websites have their own privacy policies. We update this policy when the service or its data handling changes and communicate material changes where appropriate.
